Terms and Conditions
Will Gray Photography Workshops in England & Wales
These Terms & Conditions apply to all photography workshops, tuition sessions, tours and mentoring services provided by Will Gray Photography. By booking a workshop, the client agrees to the following terms.
1. Nature of the Service
The workshop is provided as a professional photography tuition and guided learning experience. Any transport offered during the workshop is provided solely on an incidental and complimentary basis to facilitate access to photography locations and does not form part of a separate transport, taxi, chauffeur or tour operator service. No separate fee is charged for transport.
2. Client Responsibility
Clients participate in workshops entirely at their own risk.
Clients are responsible for:
• their own personal safety,
• suitable clothing and footwear,
• weather protection,
• care of their own photography equipment and personal belongings,
• ensuring they are physically capable of participating in the workshop activities.
Clients must inform the workshop provider in advance of any relevant medical conditions, mobility limitations, allergies or other circumstances that may affect participation.
3. Outdoor Risks
Workshops may involve travel to outdoor and natural environments including:
• coastal areas,
• countryside,
• woodland,
• mountains,
• rivers,
• urban environments,
• low-light or night photography locations.
Such locations may involve inherent risks including:
• slips,
• trips,
• falls,
• uneven ground,
• changing weather,
• traffic,
• wildlife,
• darkness,
• remote locations.
Clients acknowledge and accept these inherent risks.
4. Limitation of Liability
Nothing in these Terms & Conditions excludes or limits liability where unlawful to do so, including liability for death or personal injury caused by negligence.
Subject to the above:
• participation is undertaken at the client’s own risk;
• the workshop provider accepts no responsibility for loss, theft or damage to client equipment or belongings;
• the workshop provider shall not be liable for indirect losses, consequential losses, travel disruption, weather conditions, location closures or circumstances outside reasonable control.
5. Vehicle Transport
Where complimentary transport is provided:
• seatbelts must be worn at all times;
• clients must behave safely and respectfully within the vehicle;
• smoking, illegal substances and dangerous behaviour are prohibited.
The workshop provider reserves the right to terminate the workshop without refund where client behaviour creates safety concerns.
6. Insurance
The workshop provider maintains public liability insurance: www.willgrayphotography.co.uk/insurance
Clients are strongly advised to obtain their own:
• travel insurance,
• personal accident insurance,
• photography equipment insurance.
7. Weather and Location Changes
Workshops may be altered, postponed or cancelled due to:
• dangerous weather,
• road conditions,
• safety concerns,
• access restrictions,
• illness,
• circumstances beyond reasonable control.
Reasonable substitute arrangements may be offered where possible.
8. Cancellation Policy
Client Cancellation
• More than 30 days before workshop: full refund minus any non-refundable booking costs.
• 14–30 days before workshop: 50% refund.
• Less than 14 days before workshop: no refund unless the place can be rebooked.
Provider Cancellation
If the workshop provider cancels the workshop, clients will receive either:
• a full refund, or
• the option to transfer to another date.
Liability is limited to the workshop fee paid.
9. Photography and Media
Unless agreed otherwise, the workshop provider may use photographs or behind-the-scenes images taken during the workshop for promotional purposes. Clients may opt out by notifying the provider in writing before the workshop.
10. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
